What We Built

Orders arrived by phone and messaging app, were transcribed onto paper, then re-keyed into a spreadsheet that a second person reconciled against stock counts. At peak hours the transcription step was the bottleneck, and it was also where most errors originated.

We mapped the real process first, including the workarounds staff had built for themselves, then replaced the transcription and reconciliation steps with a single mobile-first ordering interface backed by a live inventory record. Stock levels update as orders are placed rather than at end of day.

Because inventory accuracy is the system's whole value, the API layer is covered by an automated Postman regression suite that runs on every deployment. A change that would silently corrupt a stock calculation fails the pipeline instead of reaching production.

The result was a 78% reduction in manual data entry and roughly 120 hours of administrative time returned to the business every month — capacity redirected to service rather than paperwork.
